  • Customized Online Purchasing Portal – Each distinctive user of B.E. receives access to a fully customized, easy to use web-based Purchasing System.
    • Electronic Purchase Orders (“Procure to Pay”) – All Purchase Orders placed on the Purchasing System with B.E. Suppliers are submitted electronically.  All electronic PO’s can be linked to GL accounting codes for accurate and reliable budget tracking.  Additionally, users may create “Offline PO’s” to generate Purchase Orders from Non-B.E. suppliers to submit via email, fax or phone.  Accounting GL codes can also be applied to Offline PO’s to ensure all orders placed via the system are applied against departmental budgets, tied to Checkbook balances.
    • Product Favorite Folders – Based on each property purchasing profile and hotel brand, a customized User Dashboard is organized into Favorite Folders containing pre-approved products, and items meeting brand specifications.  Favorite Folders can be easily modified to meet the varying needs of each user.  Favorite Folders are associated with pre-determined accounting GL codes to track purchases against budgets during a given time period.
    • B.E. Supplier Catalogs – Each B.E. Supplier has a full Product Catalog containing hundreds and sometimes thousands of product SKU’s.  Items can be sourced directly from the Supplier Catalog and added to a PO, or they can easily be saved to Favorite Folders for automatic GL coding, and simplicity of re-ordering.
    • Product/Item Search – Users can effortlessly Search all or specific B.E. Suppliers for item level or product category information.
    • On-Demand Order Guides – All of the product items contained in each Favorite Folder can be set-up in a sort order to match the store room at a hotel.  Additionally, inventory PAR levels can be set for each item. This enables users to create on-demand Order Guides with current pricing to help manage inventory in various departments across a property.

  • Budget Management, Administrative Controls and Reporting – The B.E. Purchasing System offers easy-to-use, robust and reliable Budget Management and reporting tools.
    • Administrative Controls – Corporate users can be set-up on the System to make purchases and gain full visibility into property user(s) purchasing activity on the Purchasing System.   These users also have access to modify Favorite Folders, PO approval rules, modify budgets, and run reports by property, by region or all properties within a company portfolio.
    • Budget Management & Online Checkbook – Budgets set by department related to all products purchased on B.E. are tracked via online Checkbook functionality.  As PO’s are approved and submitted to Suppliers, the online Checkbook budget shows a declining balance, in real-time.  Authorized users may elect to modify budgets during a specified period for budget adjustments driven by market conditions, varying hotel occupancy level or other factors.  
    • Report Builder – All B.E. users have unlimited access to Report Builder.  Customized summary and detailed reports can be created and saved as “My Reports” for easy one-click report access.  Reports can be run by PO’s, Budget, Receiving and Checkbook for a selected time period by property.
